Privacy policy

Last updated · 20 October 2026

This policy explains what personal data we use for the Unblock AI Conference 2026: your ticket, the conference app (conf2026.unblockai.pt), emails, photos at the event and business contacts with sponsors. We use your ticket data to run the event. Everything you share in the app beyond your name is your choice, field by field, and you can change it at any time. Profiles stop being shown on 31 December 2026 and are deleted by 30 June 2027. We do not sell data, run ads or let sponsors export lists.

Who is responsible

The controller of your personal data is Joana Joaquim & Pedro Ganço, Lda., NIPC 517705770, Rua Manuel Conceição Gomes André, 3, 1.º Dto., 2080-121 Almeirim, Portugal, which organises the conference on behalf of Unblock AI ("we", "us").

For any question or request about your data, write to all@unblockai.pt. The organisers who read that inbox are Pedro Ganço, Catarina Canelas and Diogo Figueiredo.

What we use, why, and on what basis

Your ticket

When you buy a ticket on Luma, Luma shares with us your name, email, ticket type, the amount paid and the date of payment. We use them to admit you, give you access to the app, send you emails about the event, check you in on the day and issue your invoice. If you ask for an invoice in a company name, we also use the company name and VAT number.

  • Basis: performance of the ticket contract (GDPR, article 6(1)(b)), and our legal obligation to issue and keep invoices (article 6(1)(c)).
  • Luma also processes your data under its own privacy policy, as the platform where you bought the ticket.

The conference app

To use the app, you sign in with a 6-digit code we send to your email. In the app we keep:

  • your ticket data, your preferred language (English or Portuguese), the workshop you choose and your check-in time;
  • a ticket code for the QR you show at the entrance;
  • the connections you make with other attendees by scanning their QR code;
  • what you submit in the challenges, such as "What will you try on Monday?".

Basis: performance of the ticket contract.

Organisers see this data to run the event: check-in, workshop rooms, emails and support. That is why, in the app, the organisers audience shows as "always on".

Your profile and the connection questions

You can add a photo, your role, company and industry, what you are working on, what is hard about it, how you can help, what you are looking for, your LinkedIn and short notes. All of these are optional.

Who sees them is your choice, in Me > Who sees what:

  • If you share with attendees, other attendees see you in People, with the fields you pick (photo, role, what you work on, how you can help, what you are looking for, LinkedIn, email). Only people who also share can see the People list.
  • If you share with workshop leads, the person leading your workshop sees your name and the fields you picked for workshop leads, to prepare for who is in the room.
  • If you share with sponsors, sponsors see your name and the fields you picked for sponsors, so they can contact you about what you said you are looking for.

Your email is never one of the fields shown to sponsors or workshop leads. Speakers of talks do not see any list of attendees.

Your name is always shown next to anything you share. Your industry, what is hard about your work and your notes are never shown to other attendees, workshop leads, speakers or sponsors.

Everything is off until you turn it on.

  • Basis: your consent (article 6(1)(a)). You can withdraw it at any time with the same switch, and it takes effect immediately. Withdrawing does not affect what was shown before.

Messages from sponsors and workshop leads

Sponsors and workshop leads can only write to people who share with them, through messages in the app, in plain text of up to 600 characters. They cannot download or export lists, and they do not see email addresses.

  • Each sponsor or workshop lead can send you one message, and can only write again after you reply. Each sponsor company can start at most 20 conversations.
  • We send you an email notification from info@unblockai.pt with the text of the message.
  • If you press Reply, your reply and your email address go to the person who wrote to you, and from then on you talk by email, outside the app. Replying is your choice. From then on, the sponsor or workshop lead uses your email under its own responsibility.
  • You can answer "Not interested", stop messages from a company or report a message.
  • Organisers see the list of messages (sender, recipient, date and status), to prevent abuse. They only open the content of a message when it is reported, and we record who opened it.

Basis for sharing and for receiving these messages: your consent, which you can withdraw at any time in Me > Who sees what. Messages are kept with the rest of your app data.

Information from your workshop lead

When you choose a workshop, the app asks an optional question: "How do you use AI tools today?" ("New to them", "I use them weekly" or "I build with them"). You can choose a workshop without answering and change your answer at any time. The person leading the workshop sees only the totals for their workshop, and only once at least 5 people have answered. They never see who answered what. Totals are updated at most once a day, and only after at least 3 answers have been added or changed, so that a single answer is hard to work out. This answer is kept apart from the connection questions and is not used for AI suggestions. Basis: our legitimate interest in preparing each workshop for the level of the room (article 6(1)(f)); you can object by leaving it blank or removing your answer.

Before the day, the workshop lead can send at most 2 notes to everyone enrolled, only about the workshop. An organiser approves each note before it is sent. Basis: performance of the ticket contract, because these notes are part of the workshop you chose.

AI networking suggestions

If you turn on AI suggestions, we use your connection answers to suggest people you should meet. To do this, we send to Anthropic, through its API, the Claude model:

  • your first name and your answers (role, company, industry, what you work on, what is hard, how you can help, what you are looking for and your notes);
  • for each possible match, an internal ID, their first name and only the fields that person chose to share with attendees.

We never send emails, phone numbers, LinkedIn profiles or photos. Every suggestion is checked by an organiser before it appears in the app, and it is marked as made by AI. Suggestions explain why two people could meet, in our words, and never show your answers as you wrote them. They can be wrong.

The suggestions do not decide anything about you and have no legal or similarly significant effect.

  • Basis: your consent (article 6(1)(a)). If you turn it off, we stop including you and discard every suggestion that involves you.

Emails

We send emails about the conference from info@unblockai.pt: the sign-in code, practical information, workshop choice, reminders and a thank-you after the event. We record whether each email was delivered, bounced or marked as spam, so we can fix delivery problems.

  • Basis: performance of the ticket contract. These emails are only about this conference and stop after it. We do not use your email for marketing.

Photos and video at the event

We will have a photographer and video crew. We use photos and video to report on the conference and to promote Unblock AI on our sites, social media and future materials. Talks on stage may be recorded and published.

If you do not want to appear, pick up a no-photo sticker for your badge at registration and our team will leave you out of close shots. You can also ask us to remove any photo or video in which you can be identified.

  • Basis: our legitimate interest in documenting and promoting the event (article 6(1)(f)), balanced by the opt-out on the day and your right to object at any time.
  • Speakers agree the recording of their talk with us separately.

Speakers

For each speaker we publish the name, role, company, photo and short bio that they agree with us, on the conference site and in the app. Basis: the agreement with the speaker.

Business contacts of sponsors

To find and work with sponsors, we keep the professional contact details of people at companies we approach or work with: name, role, work email and phone, company, notes on our conversations and the status of the proposal. We keep them in a shared Google Sheet and in our admin tool.

  • Basis: our legitimate interest in finding and managing sponsorships (article 6(1)(f)). If you are one of these contacts and prefer not to be contacted again, tell us and we will stop.
  • Source: public company information, introductions, or the contact themselves.

Pack requests

If you ask about a team or sponsor pack on the conference site, the request form asks for your name, email, team size and what you hope to learn or achieve at the conference. The form is provided by Tally. We receive the request, reply to it and add it to our sponsor pipeline, described above.

  • Basis: steps you asked us to take before a possible contract (article 6(1)(b)).
  • Kept like the sponsor business contacts.

Security

Our servers keep a technical access log (IP address, date and time, the page requested and the response) to protect the service and investigate abuse. We do not keep IP addresses or browser details in the app's database.

  • Basis: our legitimate interest in keeping the service secure (article 6(1)(f)).

We use these providers. Each one only processes data on our instructions, under a data processing agreement.

Cookies and local storage

The app uses only what it needs to work:

Name Type What for Duration
ubi_session Cookie Keeps you signed in 30 days
ubi-lang Cookie and local storage Remembers your language 1 year
ubi-prep Local storage Your "Before you come" checklist on this device Until you clear it

The conference site only stores your light or dark theme choice in local storage. Nothing from Tally loads until you press "Request this pack". The form then opens from Tally, which keeps your progress on the form in your browser's storage for tally.so and handles the form under its own privacy policy. No cookies are set. None of these are used for tracking, so they do not need consent. The Luma checkout, when you open it, is subject to Luma's own cookie policy.

Your rights

You can ask us to access, correct or delete your data, to restrict or object to its use, and to receive the data you gave us in a portable format. Where we rely on your consent, you can withdraw it at any time. Write to all@unblockai.pt. We reply within one month.

You can also complain to the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD).

You must be 18 or older to attend and to use the app.

Changes

If we change this policy in a way that affects how we use your data, we tell you in the app or by email before the change applies. The date at the top shows the latest version.
